Inventory Management for Resellers: A Simple System
Inventory problems grow quickly as a resale business expands. A simple location and record system prevents lost items, duplicate sales and slow dispatch.
Give every item an SKU
Create a short, unique stock code when an item enters the business. Put the code in your spreadsheet or inventory app and in the marketplace’s private SKU field where available.
Assign a storage location
Label shelves, boxes or rails with clear codes such as A1, A2 and B1. Record the location against the SKU. Avoid descriptions like “garage box” that become useless when more stock arrives.
Capture essential data
Record the purchase date, source, cost, listing date, platform, asking price and condition. When sold, add fees, postage, sale price and net profit. Consistent records reveal which stock performs.
Separate workflow stages
Use dedicated areas for unprocessed stock, cleaning, photography, listed items, sold orders and returns. This reduces the chance that an item is listed twice or packed before inspection.
Synchronise multichannel stock
If the same unit appears on more than one marketplace, remove other listings immediately after a sale or use an appropriate inventory tool. Overselling can damage account performance.
Run regular checks
Count a section each week rather than waiting for a huge annual task. Investigate missing items, duplicate SKUs and listings with no physical stock.
Review ageing inventory
Create a report for stock listed longer than your chosen period. Improve the listing, reduce the price, bundle it or clear it to free space and cash.
Keep returns controlled
Inspect returned goods, update condition and decide whether they can be relisted. Do not place a return back into normal stock without recording it.
The best system is one the team will actually use. Start with a spreadsheet and labelled boxes, then add software when volume genuinely requires it.
